The Lake Olympia HOA project scope was to include: Replacement of subdivision entrance signs on Clarke Road entrance. Estimated project cost: $3,135. Estimated city contribution: $2,500. Estimated neighborhood contribution: $1,568 cash; 72 hours volunteer labor. Due to the Hurricane devastation last year Lake Olympia HOA has approached city staff about changing the scope of the originally approved project. The new scope includes repair of the associations flagpole located in the median at the entranceway of Olympia and Silver Star. The cost to replace the flagpole is $1600. With the remaining funds in the amount of$900 from the MVP grant amount of$2500 they wish to upgrade and enhance their entranceway at Adriatic and Clarke. Issue: Should the City Commission approve a change of scope to the Lake Olympia HOA's MVP project? Recommendations City staff recommends changing the scope of the Lake Olympia HOA's MVP project to allow them time to complete the project before September of 2005. RECOMMENDATIONS City staff recommends changing the scope of the Lake Olympia HOA's MVP project to allow them time to complete the project before September of 2005. June 28,2005 Ms. Tonya Elliott City of Ocoee --Community Relations 150 N. Lakeshore Drive Ocoee, FL. 34761 Dear Tonya: As we discussed today, Lake Olympia Club HOA would like to modify our funds request under our currently approved MVP award. Our Association had approval to apply MVP funds to offset the cost of upgrading our entrance signs. Those signs are located at each entrance way to our complex off Silver Star and Clarke Roads. After assessing residual storm damage, our Board feels we would better serve our homeowners and the community by redirecting the MVP funds. We would like permission to complete two separate projects. Replacement of our Flagpole, which was destroyed by the Hurricanes. It was located in the median at the entranceway of Olympia and Silver Star. One bid for that replacement was from All American Flag and Pennant. The total cost came in at $1600.00. We would like to use MVP funds to offset those costs. The balance of MVP funds would be used to upgrade and further enhance our entranceway at Adriatic and Clarke road. We would like to upgrade the landscaping on both sides of Adriatic at Clarke. We feel it will not only help beautify our neighborhood but complement the entire area. The repaving of Clarke is much appreciated and we would like to think our landscaping efforts show that Ocoee residents' care. Project maintenance: We have existing sprinklers in place and do have a lawn service to help ensure that our MVP supported landscaping efforts will not be short term or a waste of resources. I will be the primary contact for both projects and very happy to discuss any issues. Should you need any further information, feel free to contact me. On behalf of all the Homeowners in Lake Olympia Club, we thank you, City Staff, and the Commissioners for their consideration. Sincerely, John R.
