' • Computer Project Goal Statement/Overview l • Physical Network Design(Drawings) • Proposed Cost and Implementation Schedule f Staff is requesting discussion/approval of this project at the December17, 1996 Commission meeting and Authorization for the Mayor and City Clerk to execute all necessary documents. • r $ , 9 , j , introl 12/13/96 CITY OF OCOEE Computer Network Project Overview During the last few years,the City of Ocoee,through extensive committee reviews,computer consultants, and requests for proposals,has endeavored to develop an information management master plan that would allow the staff to provide the community with the most effective information handling and communications services possible. Upon review,the most recent proposal would have provided a solution dependent upon a powerful but aging technology with a final project rollout cost approaching$lmillion dollars. While the solution would address some of the City of Ocoee's computerization goals,it would still be a proprietary hardware and software platform that would provide very little flexibility as the City of Ocoee grows and technology advances. The network development process began with interviewing the staff of each department and their interaction with each other and then taking an inventory of the existing computer and telecommunication resources. This discovery process combined with the City of Ocoee's prior efforts and allowing for the current and future needs have yielded an effective computerization strategy. The computerization plan being proposed for the City of Ocoee leverages the best of breed operating systems,hardware and application software to provide a flexible"open"system that can take advantage of rapidly evolving computer and telecommunications technology. The project can be divided as follows: Short-term goal: Map an effective network plan to the City of Ocoee's"business model"and implement. Long-term goal: Provide a stable network environment using a combination of advanced hardware and software,end-user education, and strategic planning and management to stay ahead of the technology curve. SOFTWARE ($215k) • Description: Software falls into 2 categories:General and Department Specific. General software provides the daily functions of word processing,spreadsheets,e-mail and scheduling. This standard software package is Microsoft Office and will come pre-loaded on every new computer. As the existing computer are upgraded and added to the network,Microsoft Office will be loaded. Department Specific software examples are:the new Financial package to replace the existing system, or Document Management for the City Clerk or Police and Fire packages. Each department will determine which package provides the best services. Long term training will be provided in-house with training addressing specific City of Ocoee issues and will be supplemented with off-site seminars as they are available. The third line is required to allow the remote city sites to have dial-up access of the network.
