SUBJECT: Capital Expense -Vehicles
In the current budget, we requested four vehicles for the Utility Department. One of these was a
one ton truck with a service crane. This vehicle was estimated to cost$30,000.00. Two of the
vehicles were pickup trucks with each estimated to cost$15,000.00. These vehicles are all to be
part of the water division fleet. The fourth was a 4X4 utility vehicle such as a Blazer or Explorer
which was estimated to cost$22,000.00. The funding for this vehicle was to be split evenly
between water and wastewater funds.
I have been told by Mark Brace, Buyer, that there are no agencies in the area with bids that we
could use that would allow us to purchase these vehicles for the estimated prices; however, Mr.
Brace is proposing to utilize the existing Florida Sheriffs Association bid as the means to
purchase these vehicles and has informed me that the prices will be as follows:
• One Ton truck with crane- $34,926.00 ($4,926.00 over budget)
• Pickup truck w/out service body- $14,098.00
• Pickup truck with service body- $16,986.00
• Total for both trucks - $31,084.00 ($1,084.00 over budget)
• 4X4 Ford Explorer - $23,424.00 ($1,424.00 over budget)
The total over-budget amount is $7,434.00.
Sufficient funds exist in the Water and Wastewater Reserve for Contingency accounts to cover
this shortfall, with the current balance in each account being $106,035.00 and $133,325.00
respectively.
I recommend that the City Commission(1) authorize the transfer of$6,722.00 from Water
Reserve for Contingency and $712.00 from Wastewater Reserve for Contingency to cover this
shortfall and (2) authorize purchase of the vehicles utilizing the Florida Sheriff's Association's
bid.
