Brace, CPPB, Buyer 16 THROUGH: Wanda Horton, Finance Director DATE: 26 August, 1997 RE: AUTHORIZATION FOR PURCHASE AND INSTALLATION OF RADIO RELATED EQUIPMENT FOR FIRE STATIONS NUMBER THREE AND FOUR. As you are aware, the City has under construction two new Fire Stations which are referred to as Station's Number Three and Four respectively. One of the items or services not being required from the General Contractor, Priority One Construction, is to provide and install some necessary related radio equipment in both of the stations. This particular equipment which consists of speakers, amplifiers, wiring, equipment racks, and related connections interfaces with the existing Motorola radio equipment and performs the function of alerting station personnel of a pending emergency call from the Communications Center. A local vendor, Wireless Technology Equipment Company, Inc. (WTEC), has been the only authorized company to service all of Motorola's service contracts in the area. This vendor is also the only one that performs all repairs for the radio and related equipment. The total cost for the equipment with installation for both of the new stations will be $10,293.00. The funds for this service will be paid from Impact Fees assigned to the two respective districts that the new Fire Stations are in. Please review the attached memorandums from Chief Ron Strosnider, Fire Chief, and Richard Firstner, Assistant Fire Chief,justifying the reason for using WTEC for this service. Since WTEC will honor servicing of all the needed additional equipment under the Motorola Service Contract and is the authorized provider for servicing of Motorola's equipment, I agree that it would be sensible to use WTEC and to consider them as a proprietary sole source. ACTION REQUESTED The Honorable Mayor and Board of City Commissioners authorize WTEC to provide and install radio related equipment for Fire Station's Number Three and Four in the amount of$10,293.00. This equipment interfaces with existing radio equipment, and performs the function of alerting station personnel of a pending emergency call from the Communications Center. The recommended provider of the equipment, Wireless Technology Equipment Company (WTEC) is the only authorized company to sell and service Motorola radio equipment. The Fire Department is currently serviced by WTEC for all radio equipment under the Motorola Service Contract. Although some of the equipment requested is over-the-counter merchandise, we recommend that WTEC Inc. be considered as a sole source provider of this equipment to maintain continuity with the current service contract. This equipment interfaces with the existing equipment to be moved to Station Three and Station Four. In addition the annual Motorola Service Contract is serviced by WTEC,Motorola. Although some of the equipment being purchased is over the counter merchandise,WTEC,Motorola will cover all of the equipment under the service contract. It is prudent that we purchase the equipment and installation from WTEC,Motorola. Please expedite as soon as possible to accomidate the General Contractor on the job sites. RS/tb
