Subject: Annual Christmas Dinner
For several years, Sysco has worked with the City on two very important functions: the
Thanksgiving Day "take out" dinners and the Christmas dinner. This year Sysco will again be
providing the Thanksgiving Day dinners to be handed out on Wednesday, November 25, at the
Community Center; however, the company will not be participating in the Christmas dinner
which last year served about 100-200 people.
We have contacted Garden Grille Catering at Health Central and they are willing to "co-sponsor"
the event with us. Their typical Christmas dinner sells for $10.50, but they are offering to
provide enough food to feed 200 people at $6.75 per person. I have contacted Ocoee Middle
School to see whether we could use their cafeteria for the event. It was held there last year and
seemed to work well. The following dates are available: December 7, 8, 9, and 10.
Community Relations has already budgeted funds to cover the Christmas stockings filled with
small toys and candy which were a big hit at last year's dinner. We will need to ask Santa Claus
if he is available that night. He was on hand last year to hand out the stockings and have his
picture taken with all the good girls and boys.
Since Sysco has provided the food in the past, the City has not budgeted for this. The total to
serve 200 people is $1,350. There are sufficient funds in contingency (the current balance is
$123,280) if the City Commission wants to continue to have the Christmas dinner event.

TERMS AND CONDITIONS
1. A 20% of the anticipated deposit is due the time of the booking. A total of 50% of the
anticipated total is due 45 days prior to function as a deposit
2. In the event that the client cancels the function within 72 hours of the
event 20% of the anticipated total is forfeited.
3. Client agrees to confirm guarantee of guests at least 72 hours in advance.
The Garden Grille Catering will prepare 5%over the above guaranteed count.
4. Final payment will be due no later than at the conclusion of the event. If the payment is
not received by the end of the event, a 15% interest charge will be added to the bill 10
days after the conclusion of the event.
5. Client will be billed based on the guarantee; supplemental charges will be
added manually to final invoice and collected at conclusion of event.
