RE: Consent Agenda item for August 20t"Commission meeting
Jim,
I was advised by Finance that I would need to have my request for using the 9-1-I funds to
replace the commcenter computer system placed on the Commissions Consent Agenda before I
could request the purchase order to buy the equipment.
I have attached my staff report to the Commission as a part of the consent agenda for your
review and approval. Brian and I have worked together to ensure that we have what will be
needed and we will both be available to answer any questions that might arise.

RE: Communications Computer System Replacement
ISSUE
Should the Communications Departments computer system, including five (5) workstations and
one(1) server be replaced now with funds currently available from 9-I-1 reimbursement, at a
cost of S45,000.00 with no resultant impact upon the city's regular funds?
BACKGROUND/DISCUSSION
The Communications Department uses a server and 5 workstations for operating the emergency
Computer Aided Dispatch and Records Management System for Ocoee Police Department and
Ocoee Fire Department. The Computer system now in use is several years old utilizing an
unreliable and unstable operating system for all of its operational requirements. The server now
in place is reaching its maximum capacity for records storage and is in eminent need of
replacement. The 9-1-1 funds now available would allow us to replace the server and all of the
workstations in the communications center, with a fully compatible networked system that meets
all of our current needs and an operating system that is stable and specifically designed for this
type of operations. Authorizing the replacement of this system with currently available 9-I-1
funds will also result in removal of these costs from the budget over the next two years.
RECOMMENDATION
Approval and authorization for the Communications Department and Information Services
Department to purchase the above addressed computer system for the Communications
Department from currently available 9-I-1 reimbursement funds.
