Parker, District 4 STAFF REPORT TO: The Honorable Mayor and City Commissioners 42.4 FROM: Greg Ek-Collins, Communications Manag •' DATE: September 4, 2002 RE: Communications Computer System Replacement Server Purchase ISSUE On August 20th the Commission approved the general overall purchase of the server and computer system for the communications center. The single item server/tape library portion of the system costs $30,483.00, which exceeds the $15,000.00 benchmark established regarding purchases without going to bid unless the commission waives the bid process and approves the purchase. Should the commission approve the waving of the bid process and approve the purchase of the server/tape library system from the same vendor, (Dell), as the computer workstations we are purchasing? BACKGROUND/DISCUSSION It is the goal of Information Systems to reduce the technology support costs by standardizing on certain vendors. That being said, Dell is the standard vendor for computers. Dell was initially chosen because of their lower price on similarly configured systems. The purchase of this server/tape library is part of an integral operating system for the Computer Aided Dispatch and Records Management system. A recent comparison of servers with tape libraries shows: Dell $30,483 IBM $35,439 (unable to meet specifications) HP $35,600 Compaq $36,119 Micron PC $ 40,887 Gateway Unable to meet specifications The authorization to waive the bid process will provide us the ability to purchase the server/tape library as a part of the overall integrated system at the most economical cost and within the time frame available to us. RECOMMENDATION Approve the waiving of the bid process and authorize the Communications Department and Information Services Department to purchase the above addressed server/tape library from Dell for the Communications Department from currently available 9-I-1 reimbursement funds.
