Parker, District 4 STAFF REPORT TO: The Honorable Mayor and City Commissioners FROM: Jean Grafton, City Clerk DATE: May 1, 2003 RE: Chambers Audio Upgrade ISSUE Should the Honorable Mayor and City Commissioners upgrade the sound system in the Chambers? BACKGROUND/DISCUSSION The original sound system installed by General Projection Systems has been a problem since the beginning. We stayed with the program as installed throughout the warranty period and beyond expecting it miraculously to work one day. There have been many engineers, technicians, specialists, and others who have spent many hours balancing the sound system, adjusting the microphones, twisting controls, and generally rebuilding and unbuilding the entire system. It has been difficult to hear those speaking into microphones at various locations in the room and nearly impossible to get speakers to speak directly into the microphones so that the sound could be picked up for proper television broadcasting. In recent months a test was performed during two City Commission meetings with Tenney speakers mounted overhead in the dais area. The sound system was adjusted to accommodate the change and the sound in the room was dramatically improved. This affected the sound going out over the air as well. Gary Faller, of Gary Faller Engineering, Inc., brought about this change and he has prepared a cost analysis which is attached to this report. RECOMMENDATION Staff respectfully requests that the required second verbal quote be waived and recommends authorization of the purchase of the system from Gary Faller, using funds from Commission Contingency account. Our goal is to ensure intelligibility during meetings for both council members and citizens located in any part of the room. Total Cost: $1475.00 Cost Breakdown as follows: 1- Tannoy Speaker- i8AW (Right) $340.00 These are Dual Concentric in an all-weather enclosure; excellent sonic properties and virtually indestructible. 1- Tannoy Speaker- i8AW (Left) $340.00 These are Dual Concentric in an all-weather enclosure; excellent sonic properties and virtually indestructible. 2- Mounting brackets (i8AW yoke) $45.00 Cabling (200 feet) $50.00 Conduit for cabling plus fittings $100.00 8 Hours- installation (speakers flown from ceiling with safety cables $400.00 plus wiring to TV production booth.) 4 hours- Test and adjust (room analysis, equalization, phase and polarity adjustment) $200.00 Thank you for your time in this matter.
