Parker, District 4 STAFF REPORT TO: The Honorable Mayor and City Commissioners FROM: Joyce Tolbert, CPPB, Buyer THROUGH: Wanda Horton, Finance Director DATE: August 26, 2003 RE: Award of Bid #B03-06,Networked Copier/Printer/Scanner Devices ISSUE Should the City Commission select Zeno Office Solutions, Inc. as the exclusive vendor for networked copier/printer/scanner devices? BACKGROUND/DISCUSSION The purpose of this bid is to establish a contract, at firm discounts, with a single vendor for the procurement of all networked copier/printer/scanner devices for the next five (5) years. The City would enter into an operating lease (non-ownership) with this vendor for each device budgeted in the next five (5) years. The budget for the current fiscal year includes $6,000 for the lease of one (1) color copier. The City solicited bids for six (6) different types of networked copier/printer/scanner devices. Those types are: Local BlackM/hite, Department BlackNVhite, Building Black/White, Local Color, Department Color, and Building Color. The pricing included for each type are: the Manufacturer's Suggested Retail Price (MSRP), the firm Discount off of MSRP, the Equipment Cost (Lease Payment), and the Monthly Maintenance and Consumables cost. The bid was advertised on August 3, 2003, and publicly opened on August 19, 2003. Five (5) responses were received from the following companies: 1) Zeno Office Solutions, Inc. 2) Danka Office Imaging 3) Ikon Office Solutions 4) Imaging Solutions, Inc. 5) Imagistics The bidders were required to submit a copy of their bid electronically; therefore, please click on the hyperlink for each company to view its respective bid. Attached is a copy of the bid document/specifications and bid tabulation for this project. All bids are available in the Finance Department for review. The bids were reviewed by the Information Systems and Finance Department. Staff recommends awarding the bid to Zeno Office Solutions, Inc. as the most responsive and responsible bidder, per the attached memorandum and vendor comparison worksheet from Brian Ross, Information Systems Director. RECOMMENDATION It respectfully is recommended that the City Commission award Bid #B03-06 to Zeno Office Solutions, Inc., and authorize execution of the agreement between the City and Zeno Office Solutions, Inc. by the Mayor and City Clerk, and further authorize the Mayor and City Clerk to execute all subsequent operating leases with Zeno Office Solutions, Inc., for budgeted networked copier/printer/scanner devices for the next five years.
