RE: Police Department Air Conditioning
ISSUE
Should City Commission authorize staff to advertise for bid for the replacement of the AC units
for the Police Department now in FY 02/03?
BACKGROUND/DISCUSSION
The Police Department's AC unit is in need of replacement due to persistent problems and high
repair costs. The replacement of the AC unit has been planned and budgeted for the fiscal year
03/04 at $20,000.
It is estimated that approximately 4 weeks will be needed for the bidding process. Once
awarded, as in the case for the City Hall units, the lead-time for acquiring the replacement unit is
approximately 8 weeks. Therefore, the initial 3-month period will probably place the actual
installation in January 04 if the process began on October 1, 2003.
In the interest of time and high repair costs, staff is requesting to proceed with the bidding
process to replace the unit immediately at a cost of$25,000.00. The funds for the replacement
are available from contingency. The original budgeted amount for replacement of the unit in FY
03/04 have now been placed in contingency for the next fiscal year.
Upon evaluation of the system, staff recommends replacement of the current single 25-ton unit
with two 12.5-ton units for efficiency and redundancy reasons.
RECOMMENDATION
Staff respectfully requests authorization to proceed with the bidding process and utilize $25,000
from contingency for the Police Department air conditioning system.
