Background Summary:
The Ocoee Police Department receives and processes thousands of pieces of property and evidence every year.
It also issues and inventories thousands of uniform, vehicle, and equipment supplies to agency employees.
Without proper technological assistance, inventorying and tracking all of these items is a cumbersome task
requiring hundreds of staff hours and is prone to human error and potential loss. The Police Department
currently has an older evidence tracking scanner with software that has no ability to inventory and track issued
supplies and is in need of replacement.
Issue:
Should the Honorable Mayor and Board of City Commissioners authorize the use of not more than $5,000.00 in
Forfeiture monies to purchase an evidence, property, and supply inventory and tracking system?
Recommendations
It is recommended that the Honorable Mayor and Board of City Commissioners authorize the use of not more
than $5,000.00 in Forfeiture monies to purchase an evidence, property, and supply inventory and tracking
system.

Financial Impact:
Not more than $5,000.00 from the Police Department Forfeiture account. There is approximately $169,000.00
unencumbered in that account.

ISSUE
Should the Honorable Mayor and Board of City Commissioners authorize the use of not more than $5,000,00 in
Forfeiture monies to purchase an evidence, property, and supply inventory and tracking system?
BACKGROUND/DISCUSSION
The Ocoee Police Department receives and processes thousands of pieces of property and evidence every year.
It also issues and inventories thousands of uniform, vehicle, and equipment supplies to agency employees.
Without proper technological assistance, inventorying and tracking all of these items is a cumbersome task
requiring hundreds of staff hours and is prone to human error and potential loss. The Police Department
currently has an older evidence tracking scanner with software that has no ability to inventory and track issued
supplies and is in need of replacement.
The Police Department wishes to purchase a new evidence, property, and supply inventory and tracking system
at a cost of not more than $5,000.00 from its Forfeiture account. There is approximately $169,000.00
unencumbered in that account. The evidence, property, and supply inventory and tracking system will be
selected and purchased in accordance with City purchasing policies and procedures.
