Subject: Most Valuable Partnership Grant Extension Background Summary: The Most Valuable Partnership grant program cycle is open once per year in November and is funded for $20,000. Ocoee neighborhood associations and civic groups are eligible to apply for MVP grants and may be awarded up to $2,500 in matching grant funds. Organizations that were awarded grant money were required to complete their improvement projects by September 29, 2008 in order to receive their matching grant monies. Hope Charter School was awarded a $2,500 Most Valuable Partnership Grant on February 19, 2008 to install new playground equipment. Hope Charter School did not meet the September 29th deadline to complete their project due construction at their school. Hope Charter School recently completed their project and installed the playground equipment. Hope Charter is requesting that the City issue the $2,500 matching grant using monies from contingency. Lakeshore Drive Ocoee, Florida 34761 Dear Ms. Wright, Thank you and the City of Ocoee for giving Hope Charter School the opportunity to apply for the 2007-2008 MVP Award. Based on a call I received yesterday, September 24,2008, I understand that documentation for the award must be submitted by Monday, September 29,2008. The purpose of this letter is to inform you of extenuating circumstances we have had on our property, and to ask for an extension of thirty days. Our original timetable had us ordering and installing our playground equipment by the end of February, 2008. Before receiving word that we would be able to proceed with the grant project, we embarked on a construction project to add a four classroom building to this site for our High School students. Though the new building site is on the north side of our existing building and the playground site is on the south side, the water main that would have to be continued in order to provide water to the new building runs from the southeast side of the propertyJ:o the southwest side. A water line around the west end of the building to connect with'the new building would have to run through the area designated for the playground equipment. Therefore, we felt the need to wait until that project was permitted and completed before having the equipment shipped and installed. Once the building project was finally completed on August 15, school was beginning again, giving us the opportunity to proceed with our Change Drive. The Change Drive, which ends tomorrow, September 30, is what will be used to fund the shipping and handling charges as well as pay for the necessary mulch. Also, new parent and student volunteers have been recruited for the build date we had chosen. We already have our photographer available as well. Because we were not aware of the September 29th deadline for completion, we had been in contact with the playground equipment company earlier in the week, working through the credit application in order to finalize our order, looking toward October 25 as our build date. As stated above, High School student volunteers and parent volunteers have been recruited, and the build will go on as scheduled. The equipment will arrive on October 20, 2008. Because there is not available storage space for the equipment, we did not want to have it shipped too far in advance of when it could be installed. .< Included with this letter is a picture of the build site, the mulch that has already been secured, and a picture of and the receipt for our equipment. Though we are obviously responsible for not checking with you to be sure of the final date for reporting (my assumption was that it would be October 31, 2008 since the application deadline was November 30, 2007), we are appealing to you to allow us the extra time to complete the project in order to still receive the grant. If that is not possible, we will still continue with the project. It was our hope upon completion, with your permission, to do a press release in the West Orange Times higWighting not only the great project, but the generous grant from the City- of Ocoee making it possible. I would ask that our request for an extension of 30 days be considered. Thank you for all you have done in making this grant available to us. We will be awaiting your decision.
