Background Summary:
Every year, the City purchases computer systems and software for additional needs or to replace broken or
outdated units. Every year, Information Systems evaluates the costs from various Tier 1 vendors listed on the
state contract.
Issue:
Should the City piggyback off state contract 250-000-03-1 for the purchase of over $15,000 in computer systems
from Dell through the 12/31/2007 expiration date of the contract and state contract 255-001-01-1 for the purchase
of over $15,000 software licenses from SHI through the 2/7/2007 expiration date?
Recommendations
Staff respectfully recommends the Mayor and Commissioners approve piggy-backing off state contracts 250-000-
03-1 and 255-001-01-1 until the contracts expire on 12/31/2007 and 2/7/2007 respectively for the purchase of
computer systems from Dell and software licenses from SHI and authorization to enter into all contracts necessary
for the purchase of Microsoft licenses during this period.

Financial Impact:
There is no additional financial impact as all computer systems and software purchased will be funded in the
appropriate department's computer equipment/software line item from funds approved in the fiscal year's budget.

ISSUE
Should the City piggyback off state contract 250-000-03-1 for the purchase of computer systems from Dell
through the 12/31/2007 expiration date of the contract and state contract 255-001-01-1 for the purchase of
software licenses from SHI through the 2/7/2007 expiration date?
BACKGROUNDIDISCUSSION
Information Systems is planning to purchase 100 computer systems this fiscal year totaling over $15,000 as new
units or replacements. Information Systems has compared the prices offered by Dell, HP, IBM, Gateway, and
MCP. Dell's prices were the lowest on the state contract 250-000-03-1. Additionally, software licenses also
totaling over $15,000 are available at the lowest cost from state contract 255-001-01-1. Therefore, staff
respectfully recommends commission approval to piggy-back off these state contracts for the length of the
contracts which expires on December 31, 2007 and February 7, 2007 respectively; and authorizing the entering
into all necessary contracts with Microsoft for software licenses purchased during this period.
