To date the Architect has been finalizing the internal office space and developing a lay-out for the Commission Chambers. Plans should be completed by the last week in April and ready for bid by the second week in May. With adequate bidding time and review of submittals the date for award becomes July 6, 1993. The first attachment represents staff's recommendation for relocation. The site plan shows placement of a modular unit 60' x 48' which, when combined with Community Center space, allows placement of all employees now in City Hall and Utilities modular unit. The second attachment has the detail related to this unit. The relocation work should begin May 1, 1993. The electrical, telephone, computer cabling, and septic work would be scheduled during that month with actual placement of the modular unit June 1, 1993. In June the work necessary to prepare the unit for use would be completed. Budgets for FY93 and FY94 are as follows: Set-up (One time cost) FY93 Delivery to Ocoee 400.00 Block/Level/Tie Down 3,625.00 Skirting 1,404.00 Steps 405.00 Handicap Ramps 2,200.00 Covered Walkway (Modular to Community Center) 8,000.00 Telephone, Electrical, Cabling 15,000.00 Carpentry 3,000.00 Cog_ Signage 800.00 Keying 300.00 Septic System 4,000.00 Moving 6,000.00 Set-up Contingency (15%) 6,700.00 51,834.00 Recurring Operating Cost (FY93) Modular Rental @ $900/month 3,600.00 Telephone Rental 2,800.00 Less $165.00 for Current Utility Rental (660.00) 5,740.00 57.574.00 Recurring Operating Cost (FY94) Modular Rental @ $900/month 6,300.00 Telephone Rental 4,900.00 Teardown 1,375.00 Return Freight 400.00 Moving (one time charge) 6,500.00 Less $165.00 for Current Utility Rental (1,155.00) 18.320.00 Staff recommends the use of the 60' x 48' modular unit available through Diamond Engineered Space, Inc. with the City's current vendors providing the electrical, computer cabling and telephone system and a transfer from Contingency (to be included in the mid-year Budget Amendment) into the appropriate account lines of$58,000.00 for FY93 to provide all necessary expenses associated with the move. Also with office space now in several locations a different telephone system is mandated; staff recommends a switchboard system with receptionist. Such a person would also be directing people to the correct location as well as performing clerk typist responsibilities. Action Requested The Mayor and Board of City Commissioners (1) approve the use of the 60' x 48' modular unit from Diamond Engineered Space, Inc., the telephone switchboard system from Orlando Business Telephone Systems, Inc., and the electrical and computer cabling from Computer Power Systems and (2) authorize the transfer from Contingency (at mid-year) of $58,000.00 to the various account lines.
