RE: Bid #00-01 Printing & Design of Year 2000 City of Ocoee Calendar
There are mgnies budgeted for FY 99/00 for the Printing & Design of the Year 2000 City of
Ocoee Calendar from the Community Promotions and Public Relations Development Accounts.
Bid #00-01 for the printing and design of the Year 2000 City of Ocoee Calendar was advertised
on September 26, 1999 and was publicly opened on October 12, 1999. Responses were received
from:
1. Budget Printing $13,057.00
2. Hill Printing $13,868.00
3. Red Rocket $16,500.00
4. Apopka Printing $10,473.00 (Non-responsive due to non-compliance
with bid specifications (No references given or example calendars)
5. Midlantic Data Systems $ 7,710.00 (Non-responsive due to non-compliance
with bid specifications (No references given or example calendars and did not use our
bid form).
The bids have been reviewed by the Community Relations and Finance Departments. Staff
recommends awarding this bid to Budget Printing as the most responsive and responsible bidder,
per the attached recommendation memo from Janet Shira, Community Relations Director.
RECOMMENDATION
It respectfully is recommended that the City Commission award Bid #00-01 to Budget Printing
and authorize Staff to issue a purchase order for the printing and design of the Year 2000 City of
Ocoee Calendar.

Subject: Calendar Bids
I have reviewed the five bid packages that you forwarded to me and I agree with you that the low
bidder, Midlantic Data Systems, did not provide a complete response to the bid. I would feel
very uncomfortable using a vendor without references or other samples of similar work they have
done for other customers. The company with the second lowest bid, Apopka Printing, did not
furnish either addendum nor did they provide references or work samples.
In looking at the next low bid from Budget Printing, it appears they have submitted everything
according to your bid package. I am in agreement with you that they represent the low bidder
who has submitted all the necessary paperwork.
For your information, the Community Relations Department intends to pay for the calendars with
funds from our Community Promotions and Public Relations Development accounts.
