01-14-2019 Minutes MINUTES OF THE OCOEE PARKS AND RECREATION ADVISORY BOARD REGULAR MEETING HELD ON JANUARY 14, 2019 I. CALL TO ORDER The meeting was called to order at 6:00 p.m. in the Annex Building-Parks and Recreation main office, Ocoee, FL 34761. The roll was called and it was declared there was a quorum. PRESENT: Chair Rainer, Vice-Chair Graham, and Members Applegate. Also present were Parks and Recreation Acting Director Mark Johnson, E-Officio Member Commissioner Rosemary Wilson, and Senior Administrative Assistant H. Kim McMillin. ABSENT: Member Maranan (absent excused) INTRODUCTION OF GUESTS AND VISITORS: None II. NEW BUSINESS A. APPROVAL OF MINUTES Member Applegate seconded by Vice-Chair Graham made a motion to accept the minutes of the November 12th 2018 meeting. The motions passed unanimously. B. LIGHT UP OCOEE Acting Director Johnson mentioned that next year a letter or correspondence to thank the recipients receiving the Light up Ocoee signs. The Parks and Recreation main office received calls from residents for an explanation of the signs and if it was required to return them to the city. There was discussion to purchase one sided signs with the second side worded as "Thank you for participating from Parks and Recreation" with a sticker of the city logo. It was also mentioned by members to visit and judge other subdivisions not visited in 2018. It was proposed to add an announcement or insert in the water bills for dates chosen to judge Light Up Ocoee. The event will be done the same as it was last year; the Board will randomly drive around the city, select the best light displays, and place the signs in the yard anonymously. All members unaminously agreed this is an enjoyable event. C. SPRING FLING MARCH 9, 2019 Ex-Officio Member Commissioner Wilsen said that the event may be different this year: Due to the construction it may not be as large as in the past years. She also mentioned that maybe the members could work on another option to do a give-away instead of purchasing seedlings or plugs as they did the previous year. Or a sticker or plaque for a bike. Chair Rainer suggested raffling a bike as a give-away. Member suggested giving away two bikes in a raffle. Chair Rainer suggested larger size bikes, and Ex-Officio Commissioner Wilsen confirmed she will suggest younger age bikes to be purchased by other organizations. Acting Director Johnson suggested Recreation staff will purchase two bikes for the larger bikes. Sr. Administrative Assistant McMillin will email all members pictures of the bikes purchased. 1 Vice-Chair Graham seconded by Member Applegate made a motion set the budget of$350 for Spring Fling 2019. The Motion passed unanimously. For future reference, there was discussion on other avenues for Spring Fling pertaining to raffles and recreational activities such as giving away swim lessons. D. EASTER EGGSTRAVAGANZA April 20th, 2019 is Easter Eggstravaganza. 14,000. prefilled eggs with candies and toys. A DJ will be present. A coloring contest for various age groups will be judged by the Parks and Recreation Advisory Board on Friday April 19th. All entries are due by April 19th by lunchtime, 1:00 PM. Contestants will be acknowledged with ribbons only. Kim McMillin will send an email reminder to the board members for Friday April 19th between 5:00 PM-6:30 PM at Jim Beech Recreation Center. III. OTHER BUSINESS Soccer field expansions are in progress. Holiday Tree Lighting Event will be held on Saturday, December 7th. Member Applegate mentioned Santa and Mrs. Claus will need to be scheduled soon if we are interested in their services for the event. The event location may change due to the construction. IV.
