SUBJECT: Multifunction Plotter/Copier/Scanner
The large format copier currently in use is rapidly wearing out, and we have been
informed that maintenance support will no longer be available after January 1, 2001.
Because we depend so heavily on this unit, we researched the capabilities of the
various manufacturers of this type of equipment, and determined that Oce has the best
copier/scanner/plotter suite of products for the work we do. The proposed unit will
allow us to copy large plan sheets, and will also allow for scanning of these sheets into
digital format. Once scanned, the bulky paper copies can be archived and placed into
our existing off-site storage.
This item was approved in the 2001/2005 budget as a five year lease funded jointly
between the Utilities fund and General Government. This device is used by the Utilities
department as well as Engineering, Planning, Building and other departments.
We have received quotes from three different suppliers of this unit. One quote is from
the local Ocetoffice, one is from ASG Computer & Reprographics, Inc. and one is from
Digital Imaging Services, Inc. The first of these is a direct manufacturers
representative, and the other two are multi-line dealers who sell Oce equipment.
Copies of the quotes are attached for your review. The quote submitted by the local
Oce office is based on GSA bid #GS-26F-6123B.
I recommend that the City Commission waive the requirement for competitive bids and
authorize the lease/purchase of a plotter/copier/scanner for $49,929.60 (annually -
$9,985.92) with financing through Oce and authorize the mayor and staff to execute all
necessary documents.
