01-27-2020 Minutes MINUTES OF THE OCOEE PARKS AND RECREATION ADVISORY BOARD REGULAR MEETING HELD ON January 27, 2020 I. CALL TO ORDER The meeting was called to order at 6:05 p.m. Recording Clerk Kim McMillin called roll and, it declared a quorum. PRESENT: Chair Rainer, Vice-Chair Graham, Members Applegate, Maranan, Carroll, and Stewart. Also present: Parks and Recreation Director Mark Johnson, and Recording Clerk Kim McMillin. ABSENT: None B. INTRODUCTION OF NEW MEMBER Jason Carroll, the new board member, Chair Rainer acknowledged new member. II. NEW BUSINESS A. APPROVAL OF MINUTES Vice-Chair Graham seconded by Member Stewart, made a motion to accept the minutes of the September 24, 2019 meeting. The motion passed unanimously. B. Haunted House Recap Director Johnson reported the five open dates, October 5, 11, 12, 18, 19. The Haunted House Event consisted of a theme per room, a DJ, hayrides, the Haunted Maze and Walk, and arts and crafts. The West Orange Seniors declined the 2019 which gave soccer-OYSL, football-Pop Warner, and baseball- Babe Ruth an opportunity to host the concessions on various nights. Planning is in production for the upcoming event for 2020. C. Founders' Day Recap Director Johnson announced Preferred Seating was sold out. All outdoor areas consisted of grass and mulch were finalized along with the layout to work and ensured construction did not affect the event. The main goal in 2019 was to have open areas to alow attendees to move freely as 2018 the massive crowds were blocked in due to construction. Entertainment acts are under discussion for the upcoming event on November 6 and 7, 2020. 1 D. HoliDAZE-Holiday Event Recap The event was renamed to the HoliDAZE Event. Director Johnson announced the Christmas/Holiday Event was a two-day event on Friday, December 6th and Saturday, December 7th, the same day as the Little League Parade. At Friday night's, dinner with Santa, where pizza was served to all attendees while a magician show performed. On Saturday night, there were pictures with Santa and Mrs. Claus, a DJ, the tree lighting ceremony, arts and crafts, gingerbread contest, rides, and other entertainment. The location was at the Ocoee Lakeshore Center/Bill Breeze Park. E. Final purchases for 2018-2019 budget All members were given a copy of the thank you email which was previously sent to all the board from Toren Hogan, Recreation Operations Manager, who was given the remainder balance of $316 to go towards arts and crafts for the Recreation Department and the Haunted House Event. Chair Rainer stated they appreciated the update as in the past, the board was never given any feedback for their contributions. The board requested an update for their future contributions if applicable. F. Park Projects Update Director Johnson announced the ongoing capital improvement projects at Vignetti Park on the fields, dugouts, fences, backstops, sod, restrooms, and the concessions. TNXL, the Baseball Academy, currently trains at Sorenson Fields and plans to build an outdoor bat cage, Also completed were the re-surfacing of the tennis courts, fences at Parkside-Coventry, GGS installed a new fence at the Jim Beech Recreation Center Soccer Fields. Future projects will include a dog park at Montgomery Park. The renaming of Central Park to Vandergrift Central Park in honor of the former Mayor who was remembered for his dedication to baseball will be held on the same day as Babe Ruth Opening Day, Saturday, February 29th. G. Determine upcoming meeting dates The meeting day will remain on Monday nights. The next meeting will be held on Monday, March 9th due to Spring Break. H. Vote on board member shirts Lavender polo shirts were chosen for the board members and options will be emailed for voting. 2 III. SET NEXT AGENDA A. Approval of minutes-March 9,2020 B.
