08-02-2012 CITY OF OCOEE MINUTES OF HUMAN RELATIONS /DIVERSITY BOARD REGULAR MEETING HELD AUGUST 2, 2012 CALL TO ORDER Vice - Chairwoman Hopkins called the meeting to order at 7:11 p.m. in the Commission Chambers of City Hall, 150 North Lakeshore Drive. Member Joseph gave the invocation and Member Turner led the Pledge of Allegiance. The clerk called roll and determined there was not a quorum present. PRESENT: Vice - Chairwoman Hopkins, Member Cornell, Member Turner, Member Zacarro, and Member Joseph ALSO PRESENT: Recording Clerk Williams ABSENT: Chairman Maxwell and Member(s) Dawkins, King, Calloway and Del Valle were absent excused. Member(s) Pierce, Curry, and Tiwari were absent unexcused. rBUSINESS FOR DISCUSSION J TREASURER'S REPORT Member Cornell advised the board of the balance for the month of July of $5471.96 which has drastically decreased this month. The changes in the amount are due to a donation of $266.00 for Martin Luther King Parade and $200.00 for a Publix gift card for the Black History Month Essay Contest which has been deducted as there is no ADG posting to support the credits. A new charge in the amount of $39.00 posted for business cards bringing the account balance to $5006.30. Member Joseph stated more donations have been received and is reflected on the updated vendor list provided by Liaison Wright. Recording Clerk Williams restated the correction of $350 to the HAYDG, so that Member Cornell can update her preliminary report of Fiesta de Colores donations and expenditures. Member Joseph inquired how a service provided to the board can be tracked even though it is not costing the board. Member Cornell stated she can add it under miscellaneous with a stated value amount even though the service is being provided free of charge. FIESTA DE COLORES Vice - Chairwoman Hopkins acknowledged Lt. Dreasher's presence and inquired if he had any comments to make. Lt. Dreasher stated he did not have any comments and was in attendance as a guest. Member Joseph expressed her concern in not having many Hispanic food vendors, but thinks many will sign up at the last minute. Member Joseph asked if another board member can call the previous event vendors and solicit their participation. She stated she has emailed and called, but has received no responses. Human Relations Diversity Board Minutes August 2, 2012 Page 2 of 2 Liaison Wright stated she has reached out to Pastor Padilla at Elevation Church for their participation. Member Joseph scheduled a sub - committee meeting for August 11, 2012 at 1:30 p.m. at West Oaks Mall food court. She stated they will be discussing the event program, board member responsibilities, entertainment and various other items. Recording Clerk Williams reminded Member Joseph that the sub - committee can discuss items and make recommendations to the board but they cannot make motions. Liaison Wright stated she needs the contact information for Magical Train Rides to ensure they have completed the proper vendor forms for payment of their services. MLK, JR. UNTITY PARADE AND CELEBRATION Member Turner stated that due to her lack of availability, Chairman Maxwell has taken the lead on the event planning. She further stated Chairman Maxwell has been in contact with Florida Lt. Governor Carroll as the guest speaker and has been exploring the idea of an alternate parade route. Further discussion ensued. Member Joseph stated that Winter Garden has agreed to waive the fee associated with the use of the stage. She asked is anyone can get an instrumental of the national anthem. Vice - Chairwoman Hopkins stated getting an instrumental of the national anthem should not be a hard find. Vice - Chairwoman Hopkins stated in the absence of Member Tiwari and Chairman Maxwell, the presenters, and with no objection from the board, the Diwali Festival of Light and new brochure agenda items will be tabled until next meeting.
