07-12-2012 CITY OF OCOEE MINUTES OF HUMAN RELATIONS /DIVERSITY BOARD REGULAR MEETING HELD JULY 12, 2012 LCALL TO ORDER 1 Chairman Maxwell called the meeting to order at 7:25 p.m. in the Commission Chambers of City Hall, 150 North Lakeshore Drive. Member King gave the invocation and Member Joseph led the pledge of allegiance. The clerk called roll and determined there was not a quorum present. PRESENT: Chairman Maxwell, Member Cornell, Member King, Member Dawkins, Member Del Valle and Member Joseph ALSO PRESENT: Recording Clerk Williams ABSENT: Member Pierce, Member Turner, Vice - Chairwoman Hopkins, Member Curry, and Member Zaccaro all were absent excused. BUSINESS FOR DISCUSSION ] WELCOME NEW MEMBERS Chairman Maxwell welcomed new Member Del Valle. TREASURER'S REPORT Chairman Maxwell briefed the board on the budget presentation to the city commission, the feedback he received, and how he plans to have individual discussions with the mayor and each commissioner. Member Cornell advised the board of the balance for the month of July. The total expenditures to date amount to $9,696.55 leaving an available balance of $5,471.96 FIESTA DE COLORES Member Joseph updated the board on the planning progression for the event. The board allocated $4,100 for this event, and the current expenses are as follows: Cookie the Clown $430 Flyers - — $800 -- — — Tent 20x20 $235 HAYDG (Latin Dance Group) $400 Photography - Ms. Roper _ _ $150 Total $2,215 Member Joseph contacted Magical Train Rides to provide services at the event and was given a price of $250 for two hours of service. Member Joseph informed the board of the proposal emailed to Liaison Wright from Mr. Mendoza of La Hefa Radio Station (copy of email inserted below) offering to provide DJ services, advertisement and live entertainment for no fee. Member Joseph informed the board of gift cards and cash donations collected thus far. Manheim Orlando donated $1,000 dollars, the silver sponsorship. Human Relations Diversity Board Minutes July 12, 2012 Page 2 of 3 Member Cornell asked if there are many food vendors. Member Jospeh responded there are not currently many food vendors registered. Chairman Maxwell inquired if anyone has contacted Gary Fowler for stage set- up. Member Joseph stated she had not and did not think that he was used last year. Chairman Maxwell asked if Winter Garden is charging for the stage usage. Member Joseph stated she remembered hearing of a charge, but will confirm with Liaison Wright. Member Joseph stated there are some items that need to be purchased (i.e. water for vendors, raffle tickets, number cards, etc.). She also stated they need a CD of the national anthem to be played at the event and are still seeking confirmation from the color and honor guard regarding their participation in the event. Chairman Maxwell stated he will handle obtaining the national anthem on CD as well as confirming the participation of the color and honor guard for the event. Member Joseph stated Liaison Wright has already confirmed the necessary services to be provided by the city or city staff. Chairman Maxwell tabled the following items until next month: F. New Brochure Presentation MEDIA COMMITTEE REPORT Chairman Maxwell explained to the board the idea behind the sponsorship package and the purpose. Further showing the video that was produced by Mike Bissett to be included in the sponsorship package. Member Joseph stated that pursuant to the contract with Lucas Boyce he will need to give consent prior to him being featured in any media distribution. Chairman Maxwell responded for him to be sent a sponsorship package. Member Dawkins stated that the committee requested to have the event name and then about three frames of that event.
