January 12, 2017 Ms. Joy Wright, City of Ocoee Community Relations Ocoee City Hall 150 N. Lakeshore Drive Ocoee, FL 34761 Dear Joy, Happy New Year! It was a pleasure to see you at the Senator's and Representative's Swearing In/Open House last week and I apologize for not being able to speak due to my cold. I just wanted to take a moment to thank you and the City for your continued support of our ministry. We are pleased to share with you a couple of photos from the results of last year's grant award! With the grant funds, we were able to pave two areas outside of the warehouse, one for guest parking and also an area in the back to store pallets up off of the dirt ground. We are so thankful to be able to have those areas paved, especially when it rains!! This year we are excited about focusing on the seniors in our community with our Mobile Food Pantry program. We will be delivering food boxes to needy seniors and the elderly, who are home- bound, directly to their homes. This program will require us to send out our truck more often during the month, which in turn incurs the cost of additional fuel for the truck. We are humbly seeking$500 to help in this program. Thank you for considering our enclosed application and we look forward to partnering with you again this new year!! Thank you again for helping us in supporting the needy in the community. Next Board Meetinq: January 27, 2017 at 7:00 p.m. Treasurer: Amanda said there is about$35,000.00 In the account. Minutes: Minutes of November and December meetings still not approved. Concession: $3,000.00 plus additional $150.00 for start-up and deaning of fire suppression approved respectively. Gary Motioned, Tina Seconded, Motion Passed. Credit Card: Amanda will research the breakdown of the costs concerning the current machine we use against using a square and all that will need in order to use the square. Soring Uniforms:This season we will be ordering retro/throwback uniforms. There are 15 choices. Fields: Gary would like to have the netting along the outfield fences put back up. Ferrell said they were put In storage closer to the football fields. Gary brought up the continued need for"I_"screens and new netting in the batting cages. We could also possibly use soft nets for the players to practice with but a system of the teams checking them out and putting them away each night would need to be put Into place, Chris P. said that the fences could be saved on the fields If the thick black mats were put back up. Ferrell said the City had come up with a way to put the mats back up to where they might not be taken down so easily. Free Soda for a foul ball: Gary suggested that we offer a free small soda for each returned foul ball. David Motioned,Amanda Seconded, Motion Passed. Public Announcement System: It was brought up that since we are going back to the old ways (retro uniforms) that perhaps some games could be announced as they once were. There was clear decision or Motion made concerning getting this implemented. We do have speakers but more thoughts will need to be discussed. AIL: If we change the credit card use to a square a hot spot would need to be set-up. This would also be used for/by the potential new player program on the new computer. One possible scenario would be to only have the boardroom as a hot spot the second would be to wire the entire Central Park. Chris P. will look Into this and have options ready to discuss soon. Opening Day: Tina will chair it again with Amanda, Stephenie, April, Jen, and Candace to complete the committee.A meeting for the committee will set this week. League Picture: There has not been a group league picture taken since Fall 2009. Amanda wanted to know if anyone knew someone with a drone as we are no longer able to have the Winter Garden Fire Department come out and use their bucket. Paul will ask someone whom he knows has one and if that person is unable/unwIlling then maybe the gentleman knows someone who Is. Opening Day Food: John Singh will talk to Gators about coming out again and cooking the hot dogs and burgers on Opening Day. Cathy, the lady who has come and sold cotton candy and sno cones with us before may be able to come out and sell that day. Gary agreed that If she buys a $250.00 sponsorship she can on Opening Day and then at times during the season as well (both fields). Parade: Gary will complete the permit for the parade. It will start on Oakland as it did last year. Jen said that Mr. Marbals is interested In discussing the use of one of his cars, Gary asks that It be a convertible. Beth Otts from Chick-fll-A will also need to be contacted as far as attending Opening Day. Scoreboard: There was an electrical issue with the one on the minor field. A new amp was needed. Issue resolved. Board Shirts: Cost is approximately $25.00 each. As the League has elected to show gratitude to managers, coaches and team moms for their volunteerism and pay for their spirit wear, It was also decided that not only show gratitude but also unity as a Board, Board shirts will also be purchased by the League. The Members are to e-mail Tina their size. The sizes need to be In soon so there will be enough time to have them for the upcoming Opening Day. Chris P. Motioned,Tina Seconded, Motion Passed. Minor Dlvisoq: After discussion of pros and cons on handling rules for the Minor division it was decided that tournament rules will be followed throughout the season. The cardinal reason is that the players/parents will not be confused during post-season and this will not only prepare all for how tournaments are run but also hopefully negate any controversy. Meet the Coach: There will be no meet the coach per se this season. Managers will call the players after the 1/28/17 draft. ON 1/28/17 there also will be a coaches clinic which the League is paying for all managers to attend. Home Run Derby: There was a lot of deliberation concerning having this type of event as part of the Opening of the season events. However, there Is too much already to do to start the season and perhaps this could be a mid-season event as is in the MLB. This will also give the players time to prepare. Computers: Carl has the Treasurer's computer to clean It up for use as It has not been used In years. The Player Agent computer needs to be replaced. It has some corruption to it and needs to be able to connect to a Cloud as a back-up as well as the chance to update Information from any computer. Two thumb drives will also be purchased as a physical back-up. The passcodes will be universal and the Secretary will be notified. $1,200.00 has been allotted for the purchase of the computer and thumb drives. Jen Motioned,Tom Seconded, Motion Passed. Player Agent programs will also be reviewed. ,Safety: Jen will set up another CPR class for managers, coaches and board members. Further information on same will be forthcoming. She will also have safety bags to hand out at Draft. She is working on obtaining more goodies. Ocoee City Grant: There is a $500.00 scholarship that we have a chance to apply for. The League would use the funds for equipment supplies to enhancement safety. See above-referenced paragraph concerning"Fields". We need balls, soft nets and batting screens. Amanda and Gary will work on completing the paperwork and will update the Board in due process. April Motioned,Amanda Seconded. Motion Passed. Approved as Managers: Just because a manager has been approved does not guarantee a team. Order of names is not important. No one approved for Junior or Senior divisions at this time. T-Ball-8 on a team: Randy Marion, Brian Penrose, Dennis Gray and Mark Johnson Rookie-Jen Price, Brian Glover, David Roberts and James Spears Minors-Tom Hardy,Troy Neil, Shawn Butler,Adam Robinson, James Spears and U Froebig Majors: Steve Allen, Carl Satterwhite and James Spears Adjourned: 8:01 p.m. Paul Motioned,Jacqueline Seconded, Motion Passed.
